Every tournament we run follows this exact process. It's the foundation of our flawless track record — and why our clients come back year after year.
You fill out our short contact form or call us directly. Within 24 hours, your dedicated Event Director reaches out for a 30-minute discovery call. We learn everything about your organization, team size, goals, preferred sports, budget range and desired date. No pressure — this first call is completely free and obligation-free. We often help clients who "aren't sure yet" find perfect clarity about their event vision during this conversation.
Based on your brief, our creative team develops 2–3 tournament concepts with different formats, sports combinations and themes. We present these within 48 hours along with a detailed proposal document including preliminary cost estimates. You choose, mix or request modifications — this is a collaborative process. We've surprised many clients who came to us thinking "just a soccer day" and left with a branded multi-sport Olympic concept that became their company's most talked-about annual event.
Once the concept is approved, we finalize the tournament format — bracket structure, number of rounds, sport rules and participant divisions. Simultaneously, our venue relations team reaches out to our network of premium sports facilities across Canada to secure the best location at the best price. We present you with 2–3 venue options with photos, capacity details and cost comparison. You select, we sign contracts and handle all insurance documentation on your behalf.
In the weeks before the event, our team builds everything: custom jersey designs and branded elements, digital scoreboard setup, registration system, tournament schedule, referee roster, catering brief and equipment logistics plan. You receive a comprehensive event bible — a single document with every detail of your upcoming tournament. You review and approve at each stage. Nothing is ordered or confirmed without your sign-off. This phase typically runs 4–8 weeks before the event date.
On the day, our full on-site team takes over completely. Setup begins 3 hours before participants arrive. Our Event Director manages the entire programme from opening whistle to final ceremony. Referees run matches, coordinators manage bracket updates, photographers capture every key moment, catering runs on schedule. You participate, cheer, compete and enjoy — you are not an organizer today, you are a guest at your own event. We handle every issue behind the scenes so you never need to stress.
Within 72 hours of your event, you receive: a full professional photo gallery (300+ images), a highlight video reel, a detailed event report with attendance statistics, participant feedback summary and our recommendations for the next event. All participants receive their custom gifts and awards by post if needed. We conduct a debrief call to capture your feedback and start discussing how to make next year's event even better. Our relationship doesn't end when the whistle blows — it's just getting started.
